Objectives/Goals the Office

The Office of the Assistant Registrar is established to support the efficient and effective functioning of the University’s academic administrative operations. The office works under the University Registrar Directorate and is responsible for assisting in the implementation of university-wide policies and directives related to student admission, registration, academic records management, and graduation. It also plays a key role in coordinating and supporting registrar experts at the central level and registrar units within colleges and schools, ensuring consistency, quality, and compliance with university regulations.

Duties and Responsibilities

The Assistant Registrar shall perform the following core duties and responsibilities:

  1. Support Student Admission and Placement
    • Assist in coordinating student admission, placement, and readmission processes in line with the University’s policies and the Ministry of Education's guidelines.
    • Ensure accurate documentation and timely communication with academic units.
  1. Facilitate Registration Processes
    • Assist in the preparation and execution of semester-based student registration and re-registration.
    • Monitor registration data and provide support to address challenges during registration periods.
  1. Maintain and Monitor Academic Records
    • Assist in maintaining up-to-date, secure, and confidential academic records of all undergraduate and graduate students.
    • Ensure proper documentation of student progression, withdrawal, dismissal, and alumni records.
  1. Support Graduation and Certification Procedures
    • Participate in the preparation and verification of graduation lists based on college recommendations.
    • Support the issuance of transcripts, degrees, diplomas, and certificates in accordance with university procedures.
  1. Assist in Academic Calendar and Documentation Preparation
    • Contribute to the preparation and dissemination of the University Academic Calendar, student handbooks, and course catalogues in collaboration with relevant offices.
  1. Implement University Policies and Senate Directives
    • Support the implementation and enforcement of academic policies, rules, and Senate directives relating to registration, graduation, and academic standing.
  1. Coordinate Registrar Experts and College Registrar Units
    • Provide technical assistance and operational support to registrar experts within the central registrar office.
    • Coordinate and support registrar units at college and school levels to ensure standardized service delivery and policy compliance.
  1. Ensure Quality Customer Service
  •          Respond to inquiries from students, Colleges, schools, and administrative units in a timely and professional manner.
  •          Promote a student-centered approach in all registrar-related services.

            9.      Perform Additional Assigned Duties

  •          Execute any other duties assigned by the University Registrar Director or the Vice President for Academic Affairs.
  •          Participate in relevant university committees and working groups as needed.
